When you want someone else to set your schedule for you or to send messages on your behalf, the GroupWise proxy feature can be extremely helpful. But, your mailbox doesn’t have to be completely exposed when others have proxy access. Follow the steps below to keep some items private from those with proxy access to your account.

 

To mark an item that you’re sending private:  

 

  1. Open a new mail message or appointment you wish to send.
  2. Fill in the message or appointment information.
  3. From the main menu on the open message, select Actions | Mark Private.
  4. Click Send.

 

Marking an item private when you send it also keeps the item private from the recipient’s proxies.

 

To mark an item you’ve already received private:

 

  1. Select the item in your calendar or mailbox.
  2. From the main GroupWise menu, select Actions | Mark Private.
  3. The item is not marked private for the sender, but those with proxy access to your account cannot see it.

 

To allow a person with proxy access to view your private items:

 

  1. Select Tools | Options.
  2. Double-click the Security icon.
  3. Click the Proxy Access tab.
  4. Select the person with proxy rights that you want to allow to read your private items.
  5. Check the Read items marked private box.
  6. Click OK and Close.

Note: Appointments marked private still show when someone performs a busy search, but if the person performing the busy search has proxy rights to your account, he cannot see any information about the appointment.
